Overview

Save the Children is recruiting a qualified and motivated Supply Chain Assistant to support fleet coordination, logistics operations, warehousing activities, and procurement follow-up within its Kirehe Field Office in Rwanda.

This position plays an important operational role in ensuring that vehicles, supplies, stock management systems, and transportation processes function efficiently to support humanitarian and development programs focused on children and vulnerable communities.

The successful candidate will work closely with drivers, warehouse teams, finance staff, suppliers, and field office management to maintain effective day-to-day supply chain operations.

Responsibilities

Fleet Management

The Supply Chain Assistant will:

  • Support management of field office vehicles and transportation activities
  • Monitor vehicle maintenance and servicing schedules
  • Track fuel consumption and reconcile fuel reports
  • Prepare monthly fleet reports including:
    • Kilometers covered
    • Fuel usage
    • Maintenance costs
    • Vehicle issues
  • Follow up on insurance and vehicle documentation
  • Support accident reporting and coordination with police and insurers
  • Allocate vehicles according to operational needs
  • Advise vehicle users on safety and policy compliance
  • Supervise drivers and monitor mileage logging

Procurement & Invoice Support

Responsibilities include:

  • Supporting timely supplier payments
  • Tracking procurement files and documentation
  • Verifying goods received against purchase orders
  • Processing invoices and updating invoice trackers
  • Reporting procurement challenges to management

Warehousing & Stock Management

The successful candidate will:

  • Receive, store, and release administrative stock
  • Maintain proper warehouse organization and cleanliness
  • Ensure all stock movements are documented properly
  • Manage stock records using:
    • GRNs
    • Waybills
    • Stock cards
    • Stock reports
  • Generate warehouse reports for budget holders
  • Support transportation planning for project supplies
  • Investigate and report stock discrepancies or damages
  • Ensure warehouse safety and pest control standards

Compliance & Organizational Support

The role also involves:

  • Following organizational policies and procedures
  • Supporting health and safety compliance

Requirements

Education

Applicants should possess:

  • Diploma or Bachelor’s Degree in:

Experience

  • 1–2 years of experience in:
