Overview

King Faisal Hospital Rwanda Foundation (KFHRF) is recruiting 48 Clinical Data Collectors under the ACTxBEC (Acute Care Transformation through Basic Emergency Care) Programme. The successful candidates will support emergency healthcare research by collecting, managing, validating, and maintaining high-quality patient-level clinical data using digital health systems, including the WHO Integrated Data Platform (WIDP).

Clinical Data Collectors will work closely with healthcare providers, Cluster Mentors, facility teams, and programme partners to ensure accurate, confidential, and timely data collection while supporting improvements in emergency care systems across Rwanda.

Contract Duration: September 2026 โ€“ April 2028

Responsibilities

Successful candidates will:

Patient Screening and Registration

  • Screen patients according to approved study eligibility criteria and Standard Operating Procedures (SOPs).
  • Identify eligible patients with sentinel emergency conditions.
  • Register participants using the WHO Integrated Data Platform (WIDP).
  • Generate and maintain unique study identification numbers.

Clinical Data Collection and Follow-Up

  • Collect patient information from admission through discharge.
  • Conduct daily follow-up of admitted patients.
  • Collect data from inpatient wards, operating theatres, ICU, maternity, and obstetric departments.
  • Ensure complete, accurate, and timely patient records.

Data Quality Assurance

  • Validate and verify collected data before and after synchronization.
  • Identify and resolve data errors and inconsistencies.
  • Correct incomplete records according to project procedures.
  • Participate in data quality review meetings.
  • Maintain high standards of data accuracy and completeness.

Patient Confidentiality and Records Management

  • Maintain secure links between hospital identifiers and study IDs.
  • Protect confidential patient information.
  • Ensure secure storage and restricted access to records.
  • Follow data protection and confidentiality requirements.

Electronic Data Collection

  • Use Android tablets for clinical data collection.
  • Synchronize information through the WHO Integrated Data Platform.
  • Safeguard assigned project equipment.
  • Verify successful data synchronization.
  • Report technical issues affecting digital data collection.

Technical and Operational Support

  • Support healthcare workers using WHO Academy and Sustainable Simulation and Skills (S3) platforms.
  • Assist users with account creation, password management, and multi-factor authentication.
  • Provide basic troubleshooting for Android devices and digital systems.
  • Support implementation of digital reporting platforms.

Monitoring and Reporting

  • Participate in weekly project meetings.
  • Prepare reports on patient screening, enrollment, and data collection activities.
  • Report operational challenges affecting implementation.
  • Monitor hospital coverage to ensure continuous data collection.

Compliance and Professional Conduct

  • Follow all project SOPs and ethical standards.
  • Maintain patient confidentiality and professional conduct.
  • Avoid interfering with clinical decision-making.
  • Perform other duties assigned by programme management.ย 

Requirements

Applicants should possess:

  • Bachelor's Degree in:
    • Health Informatics
    • Biostatistics
    • Epidemiology
    • Nursing
    • Public Health
    • Or another related field.
  • Minimum 2 years of relevant professional experience in:
    • Clinical data collection
    • Health information systems
    • Public health
    • Epidemiology
    • Nursing
    • Monitoring and evaluation
    • Research-related activities.
  • Experience using electronic data collection systems.
  • Strong understanding of patient confidentiality and ethical health information management.
  • Ability to work accurately in busy clinical environments.
  • Ability to follow Standard Operating Procedures (SOPs).
  • Working proficiency in English and Kinyarwanda.
  • Availability to work 40 hours per week, including alternate weekends and occasional after-hours follow-up.

Preferred Qualifications

    • Similar digital health systems.
  • Experience in emergency care, acute obstetrics, disease surveillance, health registries, or multi-site health programmes.
  • Experience supporting tablet configuration, synchronization, user accounts, and multi-factor authentication.
