Overview

Expertise France is seeking a highly organized and proactive Logistics Assistant – Missions & Events to support the planning and execution of travel arrangements, field missions, workshops, and administrative logistics for its Rwanda office.

As the French public agency for international technical cooperation, Expertise France designs and implements development projects in more than 100 countries. Since opening its Rwanda country office in 2025, the organization has rapidly expanded its portfolio, delivering projects in governance, climate action, health systems, social protection, employment, and sustainable development.

The successful candidate will join the Project Support Unit (USP) and work under the supervision of the Mission & Events Logistics Officer to ensure the smooth coordination of travel, accommodation, workshops, visa processes, and operational logistics that enable project teams to carry out their activities efficiently.

Responsibilities

Mission & Travel Coordination

The Logistics Assistant will:

  • Arrange domestic and international travel bookings.
  • Coordinate hotel reservations according to organizational procedures.
  • Organize airport pickups for staff and visitors.
  • Process Mission Security Clearance (MSC) and Mission Order requests.
  • Verify that travelers possess all required travel and security documentation before departure.
  • Coordinate vehicle requests for field missions with the Facility Manager.
  • Monitor flight and hotel payment status and follow up on pending payments.
  • Respond promptly to day-to-day logistics requests for field missions.
Workshop & Event Support

The successful candidate will:

  • Request quotations from hotels and event venues.
  • Recommend suitable venues based on project requirements and budgets.
  • Coordinate meeting room reservations and workshop logistics.
  • Ensure suppliers deliver services according to agreed contracts.
  • Verify invoices before submission for payment.
  • Collect supporting documentation required for financial processing.
  • Coordinate suppliers during workshops hosted at the office.
Visa & Administrative Support

Responsibilities include:

  • Managing long-term visa application processes.
  • Preparing supporting documentation for immigration procedures.
  • Drafting visa support letters.
  • Following up with immigration authorities.
  • Organizing visa application files and related records.
Logistics & Operational Support

The role also involves:

  • Assisting with asset registration and inventory management.
  • Supporting urgent operational purchases when required.
  • Applying travel and workshop procedures consistently.
  • Reporting procedural challenges and recommending improvements.
  • Identifying usability issues in logistics documentation for revision.

Requirements

Education

Applicants should possess:

  • University Degree or equivalent qualification in:
    • Logistics
    • Secretarial Studies
    • Business Administration
    • Supply Chain Management
    • Related field
Experience

Candidates should have:

  • Minimum 2 years of relevant professional experience.
  • Experience in logistics, administration, event coordination, or travel management.
  • Previous experience within an international organization is highly desirable.
